Description
Exalt Health, an acute rehabilitation hospital, provides an intensive rehabilitation program, and admitted patients must be able to tolerate three hours of intense rehabilitation services per day. Focused on caring for patients with complex rehabilitative needs such as stroke, spinal cord injury, brain injury, head trauma, medically debilitation conditions, neurological disorders, cardio-pulmonary amputations, orthopedic injuries, and multiple major traumas.
Position Summary
The Corporate Payroll Coordinator is a key member of the Human Resources team responsible for the accurate, compliant, and timely processing of all corporate and facility payrolls. Reporting directly to the Vice President of Human Resources, this role manages all payroll-related processes, including time and labor, benefits deductions, expense management, and year-end tax reporting. The Coordinator will play a critical support role in HRIS implementation and maintenance, ensuring the integrity of employee data across compensation and benefits systems.
Key Responsibilities
Payroll Management & Processing
- Process Bi-Weekly Payroll: Execute the end-to-end processing of multi-site, bi-weekly payroll for all employees, ensuring accuracy of wages, deductions, and withholdings.
- Time & Labor Administration: Manage and audit the electronic time and attendance system, resolving discrepancies and ensuring compliance with federal and state wage and hour laws, including overtime and paid time off (PTO) policies.
- Deductions & Contributions: Accurately process and reconcile all voluntary and involuntary deductions, including benefits enrollment, 401(k) contributions, garnishments, and other pre-tax/post-tax items.
- Expense Management: Review, audit, and process employee expense reports for accurate and timely reimbursement through the payroll system.
- Paid Leave: Administer and track various paid leave types, including Paid Time Off and Sick Leave, ensuring accurate balances and payouts.
HRIS, Compliance & Support
- HRIS Support: Act as a subject matter expert and key support member for HRIS implementation projects, ongoing system maintenance, and upgrades, particularly as they relate to payroll and timekeeping modules.
- Onboarding & Lifecycle Management: Process payroll-related components of the employee lifecycle, including reviewing and approving pay details in offer letters, completing new hire enrollment forms, and processing terminations.
- Tax & Regulatory Compliance: Assist in the preparation of quarterly and year-end reporting, including tax preparation (W-2s) and supporting documentation for audits. Ensure organizational compliance with the Affordable Care Act (ACA) requirements related to employee hours and benefits eligibility.
- Leave and Compensation: Provide payroll support for complex HR functions, including auditing pay during leave management (e.g., FMLA, Workers' Compensation) and coordinating with third-party administrators.
- Workers' Compensation: Process and audit payroll data related to Workers' Compensation claims, providing wage statements and necessary documentation to claims administrators.
Communication and Documentation
- Serve as the primary point of contact for all employee questions and issues related to payroll, deductions, PTO balances, and expense reimbursement, providing exceptional customer service.
- Maintain meticulous and confidential payroll records, documentation, and filing systems in compliance with company policy and legal requirements.
- Generate routine and ad-hoc payroll reports for the VP of HR and Finance leadership.
Requirements
Qualifications
- Education: Associate's or Bachelor’s degree in Human Resources, Accounting, Finance, or a related field is preferred.
- Experience: Minimum of 3 years of progressive experience in payroll processing, preferably in a multi-state environment and/or within a healthcare setting.
- Technical Skills: Advanced proficiency in payroll software (e.g., Paylocity, Empower, Principle) and Microsoft Excel. Demonstrated experience supporting or participating in HRIS/Payroll system implementation.
- Knowledge: In-depth knowledge of federal and state wage and hour laws (e.g., FLSA), payroll tax regulations, and benefits administration as it impacts payroll.
