Accuracy, organization, and the ability to handle several deals at once are essential.

Key Responsibilities

Deal Paperwork Review

  • Verify that deal figures (price, trade, payoff, taxes, fees, rebates) match across the buyer’s order, retail installment contract, and DMS.
  • Identify missing or incorrect documents and work with Sales and F&I to correct them.
  • Keep deal jackets organized, audit-ready, and compliant with California, federal, and lender requirements.

Accounting

  • Reconcile contracts-in-transit, vehicle receivables, and deal-related schedules.
  • Track trade payoffs, manufacturer rebates, and incentive claims through to receipt.
  • Help with month-end close, including deal reconciliation and sales reporting.
  • Support commission calculations by confirming final deal figures.

F&I Product Tracking and Chargebacks

  • Track F&I and aftermarket products sold on each deal, including Ford Protect service plans, GAP, maintenance plans, and appearance protection.
  • Monitor product payment status and follow up on outstanding items with F&I and providers.
  • Track product cancellations and pro-rated customer refunds.
  • Process and track chargebacks from product providers and lenders, including chargebacks from early payoffs, cancellations, and unwinds.
  • Post chargebacks to the correct deals and accounts and work with F&I and payroll on commission adjustments.
  • Reconcile product payables, chargeback activity, and provider statements every month.

What We Offer

  • Competitive pay: [pay range]
  • Full benefits package
  • 401(k)
  • Paid vacation time
  • Monday–Friday schedule, [hours, e.g., 8:00 AM–5:00 PM]
  • A stable, family-owned workplace with more than 100 years in Sacramento
  • Training on our systems and processes, plus room to grow in dealership accounting
