About the Role

Description

Twin State Technical Services (TSTS) is looking for a dependable, action-oriented Billing/Administrative Support Specialist who enjoys taking ownership, following through, and turning information into accurate, completed work. This role supports our administration team by monitoring accounts and balances, identifying inconsistencies, resolving billing questions, and helping ensure every client interaction reflects the high level of service for which TSTS is known.

The right candidate is not someone who simply identifies what needs to be done—they organize the details, coordinate the next steps, and carry the work through to completion. You will learn our client contracts, understand the fees connected to our technical services, communicate clearly with clients and teammates, and help strengthen client satisfaction and loyalty.

Who will thrive in this role:

  • A strong implementer: You translate priorities into organized action, establish clear next steps, and reliably finish what you start.
  • Accurate and detail-minded: You notice inconsistencies, verify information, and understand that billing accuracy builds trust.
  • Accountable: You own deadlines, communicate early when something needs attention, and follow issues through resolution.
  • Client-focused: You respond professionally, explain information clearly, and look for practical ways to make the client experience better.
  • Process-oriented: You work well within established procedures while identifying improvements that make work more efficient and dependable.
  • Collaborative: You share information, coordinate across teams, and contribute wherever needed in a fast-moving environment.

What you will do:

  • Onboard new client accounts in the billing software.
  • Update SharePoint with new client information and contracts.
  • Assist with reviewing recurring and nonrecurring purchase orders for approval.
  • Review monthly recurring fees and make approved changes as appropriate.
  • Review weekly employee time entries for accurate billable and non-billable classifications.
  • Oversee the monthly invoicing process, including previewing invoices for accuracy and sending them to clients.
  • Respond to and resolve client billing questions and issues in a timely, professional manner.
  • Monitor receivables and communicate with clients to support timely collection.
  • Collect daily mail and submit payment deposits.
  • Prepare reports for leadership, including payroll reports for the CEO on the 1st and 16th.
  • Manage TSTS clothing orders for employees.
  • Support additional administrative priorities and duties as assigned.

Requirements

  • Excellent written and verbal communication skills.
  • Strong customer service skills and a professional, solutions-focused approach.
  • Demonstrated ability to solve problems and identify opportunities for improvement.
  • Strong working knowledge of Microsoft Office, including Excel, Word, and Teams.
  • Strong organizational skills, sound judgment, and the ability to manage multiple priorities.
  • Consistent follow-through, attention to detail, and comfort working with deadlines and recurring processes.
  • Bachelor’s degree in business, finance, or a related field is preferred. We will also consider candidates with three to five years of experience in billing, office management, finance, or a comparable combination of education and experience that provides the knowledge and skills needed to succeed in this role.
