We are hiring for this role on behalf of our client in the EV automotive industry
Marketing Operations Executive
Location: Ho Chi Minh City, Vietnam
Workplace Type: Onsite
About Our Client
Our client is a joint venture dedicated to accelerating Vietnam’s energy transition by investing in an end-to-end electric two-wheeler (E2W) mobility solution. They aim to deliver a seamless consumer experience powered by an integrated digital ecosystem.
Role Overview
The Marketing Operation Executive runs and continuously improves how the Marketing team operates, so that the launch and the ongoing business are supported by reliable stock, clean numbers and fast, well-controlled processes.
The role covers activation and test-ride operations, merchandise and POSM, social media, web and app content, reporting and trackers, and procurement and budget control. It works with the Brand, Channel and Customer Service owners and with agencies, suppliers, dealers and workshops, and gives the Marketing Director and Marketing Manager the information they need to decide.
This is not a traditional admin or operations position. We are looking for a strong operator and manager with an optimisation mindset: someone who questions every process, removes waste, standardises and automates what repeats, and measures the productivity gained, while staying accountable for accuracy and follow-through. During the launch period, expect to be hands-on in the field with warehouses, dealers and events.
1 - Activation, Test Ride and Event Support
- Support the operation of activations, roadshows, test rides, dealer local marketing activities, and events: checklists, materials, equipment, staffing schedules, vehicle booking and on-site support.
- Support the test-ride vehicle booking operation, keeping the vehicle and booking calendar accurate under the approved procedure.
- Prepare post-activity data within the agreed time (attendance, leads captured, photos, stock used, cost against budget, actions) and pass leads to the lead-handling process.
- Coordinate logistics and on-site issues with the event and production partner, and raise problems with the activity owner immediately.
2 - Merchandise and POSM Operations
- Maintain inventory records for merchandise and POSM across warehouse, dealers, workshops and events (stock in, stock out, balance, reorder points), with regular counts and reconciliation.
- Prepare POSM and merchandise allocation per dealer, workshop or activation within the approved kit and budget, obtain owner sign-off, and manage dispatch.
- Raise purchase requests and track production and delivery with suppliers against lead time.
- Coordinate delivery and installation with dealers, workshops and installers; collect photo evidence against the audit checklist; and report branded and unbranded launch dealers and workshops.
- Manage branded giveaways and merchandise for events, test rides and the pilot, including stock issued, returned and remaining.
3 - Social Media, Web and App Support
- Coordinate the social media content calendar: collect approved posts, captions and visual assets from the content owner and agencies, and schedule them on the company’s social channels on time.
- Update content on the website, landing pages and mobile app (banners, promotions, FAQs, dealer and station information) using approved copy and visuals, and coordinate with the digital producer and app team when a change needs development.
- Compile weekly numbers, such as reach, engagement and traffic, for the marketing report.
4 - Reporting and Trackers
- Prepare basic marketing reports based on templates.
- Prepare meeting minutes, recording decisions and action owners.
- Prepare the Track OKR and key-result progress and post-activity reviews.
5 - Procurement, Vendor Records and Budget Control
- Support procurement for Marketing: quotations, vendor comparison, purchase requests and orders, goods receipt, invoice tracking and payment follow-up with Procurement and Finance.
- Maintain clear records for every agency and supplier: contract, scope, quotation, approvals, deliverables and invoices, in line with approval thresholds.
- Provide month-end inputs to Finance, including accruals, open purchase orders and unpaid invoices.
- Ensure all marketing spending is documented and compliant with the company process, and flag any spend that is missing an approval.
- Support team administration, such as visitor arrangements for global and regional colleagues.
6 - Process and Document Discipline
- Keep marketing files, approval records and the asset archive organised and version-controlled, so anything can be traced within minutes.
- Maintain templates, registers and trackers, and suggest improvements that save the team time or reduce errors.
- Proactively flag risks, delays, resource gaps and decisions needed to the Marketing Manager and Marketing Director.
- Other tasks assigned by the Manager.
Qualification
- Bachelor’s degree in Business Administration, Marketing, or a related field.
- Minimum 1 to 3 years of experience in marketing operations, trade marketing, merchandise or POSM management, activation or event logistics, or agency production coordination.
- Experience in automotive, motorcycle, mobility, EV, FMCG, retail, e-commerce or consumer-facing businesses is preferred.
- Strong MS Office/Google Suites skills; accuracy with numbers is essential.
- Strong organisation, attention to detail and follow-through across many items and deadlines.
- Strong at operation optimisation & project management skills
- Track record of streamlining a process or building a tracker, template or automation that measurably saved time or reduced errors.
- Able to work with agencies, dealers, workshops and internal teams, and to follow up firmly and politely.
- Strong written and spoken Vietnamese; working English for documentation and coordination with regional and global colleagues.
- Available for on-site work at warehouses, dealers and events, including occasional weekends around launch activities.
- Comfortable working in a start-up or launch-stage environment where processes are still being developed.
Behaviours we value: high agency, resilience, growth mindset, ownership.
