About the Role

Medical Receptionist (Full Time) | Ponti Health, Surry Hills | pathway to 2IC

At Ponti Health, the patient journey starts and ends at reception. The first "hello" on the phone, the welcome at the desk, the warm goodbye on the way out: that's you. We're looking for a full time Medical Receptionist who is a little obsessed with being organised, and who sees reception and customer service as hospitality, not just a task list.

About us

Ponti Health is a pioneering, multidisciplinary clinic in Surry Hills supporting women aged 16 to 70. GPs, specialists and allied health practitioners work together under one roof, so care is joined up, unhurried and personal. We opened in October 2024 and our guiding principles are simple: slow medicine, ease, personalisation and collaboration.

You'll join a reception and admin team of 3, led by our Practice Manager, in a team where people are respected, mistakes are something we learn from, and everyone has each other's back.

What you'll do

  • Be the welcoming first point of contact at reception, in person and on the phone, and make every patient feel looked after from arrival to departure

  • Manage appointments and multi-practitioner diaries in Best Practice and HotDoc: booking, confirming and keeping the day flowing

  • Handle patient enquiries, registrations and communication between patients and clinicians with care and discretion

  • Answer calls and emails, keep patient records accurate and follow clinical and privacy standards

  • Process payments and billing accurately

  • Work closely with the Practice Manager, the admin team and our clinicians so the clinic runs smoothly

The pathway to 2IC

This role starts as a full time Medical Receptionist. For the right person, it leads to a second in charge (2IC) role: supporting and guiding the reception team, helping with rostering, onboarding and training, overseeing the front desk when the Practice Manager is away, and improving how we do things. We won't put a date on it. It comes with commitment from both sides, great performance and a genuine interest in growing with us.

You'll love this role if you...

  • Have at least 1 year of experience as a medical or specialist receptionist (2 to 3 years is ideal) in a GP, specialist or allied health practice

  • Are known for being very organised, with sharp attention to detail

  • Stay calm and prioritise well when the phones, the desk and the diary all need you at once

  • Adapt easily when the day changes, which in a busy clinic it will

  • Bring a warm, polished and professional manner, and treat customer service like hospitality

  • Have used Best Practice, HotDoc and Microsoft Outlook (or similar practice software and you pick up systems quickly)

  • Want a long term reception role you can make your own and grow in

This role probably isn't for you if...

  • You're looking for a short term role while you work out your next move. We're building a team for the long run.

  • You'd rather work behind the scenes than be the first face and voice our patients meet

  • You prefer a steady, predictable pace with one thing at a time. Reception here is varied and busy.

  • "Near enough is good enough" works for you. Here, the small details matter.

What's on offer

  • $32 to $35 per hour + super, full time and permanent

  • A real pathway to 2IC for the right person

  • A supportive, inclusive team and a Practice Manager who invests in you

  • The chance to help shape front desk operations as we grow

  • Meaningful work in a clinic that's changing women's healthcare

Hours

Monday to Friday, on a roster of either 8am to 4pm or 9:30am to 6pm. Occasional Saturdays to cover leave.

How to apply

Please apply with your up to date resume and a cover letter addressed to Harry Potter, telling us about your current responsibilities and how they match this role. We'd love to hear from people who are passionate about exceptional women's healthcare. Find out more at pontihealth.com and @pontihealth.

This role is being recruited by The Virtual Recruiter on behalf of Ponti Health. Shortlisted candidates will have a phone screen with us, then an interview with our Practice Manager at the clinic.
