About the Role
We are seeking a highly organized, proactive, and adaptable Executive Operations Lead to join our team in New York City. This is a hands-on, high-impact role for someone who thrives in a fast-paced, in-person startup environment and enjoys building structure as a company grows.
Reporting to the Chief Business Officer and working closely with the broader leadership team, this person will serve as a central operational hub for the office and a trusted administrative partner to the C-suite. The role spans executive support, office management, vendor and partner coordination, purchasing and workplace operations, and a range of cross-functional administrative responsibilities. You will help ensure that our executives are operating efficiently, our office runs smoothly, and our internal systems scale alongside the business.

Key Responsibilities
Executive & C-Suite Support
Manage calendars for the CEO, CBO, and other senior leaders, including scheduling, priority alignment, conflict resolution, and rapid changes. Track action items and support execution of strategic priorities across teams. Coordinate internal and external meetings, leadership sessions, board meetings, partner meetings, and company events.
Prepare agendas, briefing materials, presentations, and follow-up notes as needed.
Coordinate travel, itineraries, and expense reporting.
Office Management & Workplace Operations
Oversee day-to-day operations of the physical NYC office to ensure a smooth, organized, welcoming, and professional environment.
Coordinate with building management, facilities, IT, security, and service providers.
Support space planning, meeting room setup, hospitality, and readiness for team activities and external visitors.
Maintain office systems, procedures, files, and administrative workflows that improve day-to-day operations.
Administrative & Operational Support
Support company operations across purchasing, invoicing, vendor billing, expense management, document retention, and related administrative functions.
Qualifications
3+ years of experience in office management, executive support, business operations, or a similar role in a fast-paced environment.
Experience supporting senior executives or C-suite leaders.
Strong experience working in a physical office and managing onsite operations.
Hands-on, resourceful, and comfortable handling both strategic support and day-to-day execution.
Experience handling highly sensitive and confidential information with discretion and sound judgment.
Experience coordinating vendors, facilities, purchasing, and workplace operations.
Proficiency with common workplace tools such as Google Workspace, Microsoft Office, Slack, Zoom, Notion, Airtable, and expense management platforms.
Preferred Qualifications
Experience in a startup or venture-backed company during a growth phase.
Experience supporting board meetings, investor interactions, or senior external stakeholders.
Familiarity with HR, recruiting coordination, legal/admin workflows, or finance operations.
Experience interfacing with outside partners, clients, or service providers in a professional capacity.
